Production Administrator

To provide admin support to the Production Team and to be the first point of telephone contact for all incoming calls to the department.

Personal Specification

This role would suit an individual with proven customer liaison and admin skills within the lighting/events industry. The role requires attention to detail & ensuring department procedures are adhered to. A pro-active attitude, a good solid understanding of the products & services we offer and good communication skills are needed to ensure customer satisfaction at all times.

Job Specification

  • To coordinate and ensure the smooth running of the administration of the Production department
  • To assist the Project Managers and Head of Production with general administrative tasks including, but not limited to, generation of Purchase Orders, Production Diary maintenance, Insphire contract number requests and crew booking and co-ordination.
  • To liaise directly with customers regarding Production contracts, both face to face, by email and over the phone, in a helpful and courteous manner.
  • To understand the availability of equipment for hire by using the systems available and adhering to the procedures in place
  • To ensure that all Production processing procedures are adhered to and to ensure that all invoicing is submitted on a timely and regular basis
  • To be responsible for following up Pro-Formas to ensure the customer pays in time before the event.
  • To work alongside members of other WL teams and communicate effectively
  • To follow up customer enquiries and quotations on a timely basis and act in a ‘pro-active’ fashion
  • To generate business for the company and promote customer satisfaction
  • To learn about the company and its activities in order to understand and deal with the customers needs
  • To represent the Company in a courteous and appropriate manner in any dealings with customers
  • To resolve any issues arising with colleagues in a professional manner
  • To follow correct procedures at all times and to follow the policies laid out in the staff handbook
  • To ensure that Health and Safety Guidelines are adhered to at all times.
  • To maintain and enhance the quality of the White Light service and ensure good customer perception at all times
