Job description

Financial controller (theatre-based)

Overall purpose of job:

  • to be responsible for all aspects of the financial management

Key responsibilities:

  • to ensure adequate procedures and practices for all financial matters pertaining to the theatre trust are in place and comply with relevant charity and company law
  • to update the financial management and procedures manual and ensure relevant personnel are conversant with it
  • to be proactive in recommending financial practices to ensure the company has the most effective financial advice and information available to management and trustees
  • to prepare and present monthly management accounts, draft year-end financial accounts and the annual budget to the finance committee and F&GP ommittee
  • to be a member of the finance committee and to attend committee and trustees meetings when required
  • to liaise effectively with the Treasurer on all financial matters
  • to liaise with the General Manager, Chief Executive and the Director of Business Development to ensure that reasonable budgets are set for productions, fundraising events etc
  • to be a member of the expenditure control group to ensure correct expenditure controls are in place and to present to the group issues raised by other HOD’s
  • to liaise with the theatre trust’s nominated bank and auditors to ensure proper financial control and support
  • to ensure proper financial and stock controls are in place over all areas of sales activity (box office, bar and merchandise)
  • to ensure proper financial control over the handling of all cash within the building and to oversee its efficient banking
  • to manage all aspects of VAT for the theatre trust
  • to control the financial management of salaries, PAYE, NI, payments to casual staff and professional fees
  • to provide financial information when required for major trust and statutory applications.
  • to manage and oversee the work of the Finance Assistant

General responsibilities:

  • to carry out all responsibilities within the philosophy and equal opportunities policy
  • to attend and participate in the company’s creative development focus groups and its mentoring scheme or any other staff development scheme which the company may operate
  • to adhere to all financial recording procedures set up within the department and laid out in the company’s financial manual
  • to carry out any other duties that may reasonably fall within the remit of the post

Performance Indicators:

  • practices and procedures are in place, up to date and meet internal and external standards and requirements
  • financial management and procedures manual is up to date and all relevant personnel are conversant with it
  • effective financial advice and information is regularly available to management and trustees
  • monthly management accounts, draft year-end financial accounts and the annual budget are produced and presented on time
  • finance committee, F&GP and trustees meetings have been attended when required
  • effective liaison with the Treasurer on all financial matters
  • effective liaison with the General Manager and the Director of Business Development setting reasonable budgets for productions and fundraising events
  • effective membership of the expenditure control group
  • regular liaison with the theatre trust’s nominated bank and auditors
  • successful financial and stock controls are in place over all areas of sales activity (box office, bar and merchandise)
  • effective financial control over the handling of all cash within the building and its efficient banking
  • all aspects of VAT for the theatre trust successfully managed
  • PAYE, NI, payments to casual staff and professional fees successfully completed
  • financial information provided when required for major trust and statutory
    applications
  • Finance Assistant is properly managed

  • suitable accountancy qualifications
  • management/ team leadership experience
  • highly developed interpersonal and communication skills
  • analytical thinker
  • IT literate – Word, Outlook, Excel, Sage, Opera
  • ability to multi-task and work calmly under pressure
  • good team leader and player
  • enthusiasm for and commitment to our work

Desirable:

  • arts management experience
  • database (ideally Raiser’s Edge and /or Databox) experience
