Education administrator

DUTIES AND RESPONSIBILITIES

Administration

  • to manage the office and day to day administration of the department and to be the first point of contact for telephone and personal enquiries to the education department and all its activities
  • to maintain databases for all education and outreach activities
  • to undertake the administration of the youth theatre, including maintenance of membership and waiting list databases, processing of subscriptions, production of schedules and correspondence
  • to administer and process bookings for participation activities including children’s holiday activities and other events
  • to administer the theatre’s work experience programme, including liaison with applicants, schools, and relevant theatre departments to identify opportunities and ensure placements are carried out safely and effectively
  • to work with the Education Director to contract freelance and sessional staff
  • to ensure that other theatre departments are kept up to date with the plans and work of the education department
  • to maintain records of all education & outreach events, including totals of participation
  • to be responsible for diary management for the department, and to attend meetings and represent the education department at events as required
  • to type letters, produce reports, memos etc and undertake filing
  • to undertake day-to-day administration of the department budget

Holiday Activities and Family Events

  • to project manage all holiday activities and family events
  • to deliver holiday activities and family events as appropriate, employing sessional workers where necessary
  • to work within agreed budgets

Other

  • to work on other projects and events as required by the Education Director
  • to administer and process child licensing as required for youth theatre and theatre productions
  • to administer and process chaperones for youth theatre productions, and to be responsible for liaison with parents, chaperones and the licensing authorities
  • to be aware of the latest development in child protection legislation, and to be responsible for ensuring that all education department activities comply with such legislation, and that the theatre as a whole is aware of latest legislation
  • to undertake the administration of CRB clearance on behalf of the department, and to liaise with the authorities as necessary

PERSON SPECIFICATION

Essential

  • excellent administrative skills
  • excellent numeracy and literacy skills
  • good knowledge of Microsoft Windows and Excel
  • previous experience of database management
  • ability to prioritise work, and work in a flexible manner
  • excellent telephone manner
  • good interpersonal and communication skills
  • ability to work without supervision
  • able to work occasional evenings and weekends
  • full driving licence

Desirable

  • CRB registered status
  • previous experience of working with children and young people
  • knowledge of child protection legislation
    *previous experience of contracting sessional staff
  • experience of managing budgets

  • report writing experience
  • experience of child licencing process
