Development officer (arts centre)
The principal duties of the post are:
- the implementation of agreed fundraising procedures and projects to deliver planned fundraising strategies
- the production and collation of materials, copy and images for, and the administration of, direct mail, print, and web content
- close liaison within the communications team and with internal departments
- creating, maintaining and servicing the fundraising database, and keeping all relevant administration up to date
- updating the website with relevant event information and news stories
- processing all payments and pledges received, and sending appropriate and timely acknowledgements
- to assist in the smooth running of the department adhering to agreed administrative and financial systems and budgets
- to be committed to an equal opportunities policy
- to carry out other duties appropriate to the post as required
Job Description – Specific
- the implementation of fundraising initiatives through:
- working with other members of the Communications team in producing print requirements, images and marketing information
- the maintenance and development of mailing lists and systems
- writing and researching direct mail initiatives, and producing labels and reports from the fundraising database and marketing databases as required
- ensuring the website is current and accurate at all times
- liaison with members of staff and external consultants to set up and service events and other projects as directed by the Director
- close liaison within the communications team and with external members of the fundraising team, through:
- attendance at fundraising team and communications team meetings
- briefing and action sessions with other staff as required
- processing all payments and pledges received. This will include:
- coding and banking all income with accounts team
- recording all donations and pledges on the fundraising database
- sending appropriate letters of thanks to all donors
- producing regular updates of income for the fundraising team, as required
- assisting the Communications Director by:
- preparing reports and information for internal and external use, as required
- articipating in meetings both internally and externally as necessary
- supporting and working with the marketing team in such other ways as are necessary for the efficient fulfilment of the Department’s duties
- contributing to the overall effectiveness by:
- ensuring effective interaction and liaison with other departments and colleagues
- monitoring, and working within, agreed budgets and financial targets
- working within the administrative, information and financial procedures
- maintaining and developing good contacts and relationships with other members of staff, customers, companies and artists working at the venue, contractors and suppliers, departments of the city council, funding bodies relevant external organisations, other venues and individuals
PERSON SPECIFICATION
Skills and Experience
Essential
- the ability to communicate effectively with a range of people, in person, via the website, on the telephone and in writing
- the ability to write imaginative and well-presented copy for a variety of target groups, especially for direct mail/emails
- strong organisational and administrative skills, including an ability to establish and maintain office files and systems
- the ability to contribute constructively to and to implement a marketing or fundraising strategy
- a positive approach to working flexibly and under pressure as part of a busy team
- the ability to adhere to routines and deadlines and to meet high standards without constant supervision
- good IT skills and a sound knowledge of e-mail, word processing and spreadsheets and databases on a PC (ideally Microsoft Office)

Desirable
- experience of working in fundraising or marketing
- experience of working in the arts or in/ for an arts organisation
- experience of website content management systems
- good basic mathematical skills and the ability to present financial reports in a clear and concise manner
- a knowledge of computerised box office marketing systems
- a knowledge of website content management systems
- a willingness to learn and develop new skills
- a passion for the arts
Qualifications
- Educated to degree level or equivalent.
