Job description

Development assistant (children's theatre)

Responsible to:
Development Director

Principal Function

The Development Assistant will provide administrative support to the other members of the Development team and ensure the Development office runs efficiently. A key function will also be to develop and promote our new Gem Scheme.

KEY RESPONSIBILITIES

Day to day running of the department:

  • respond to telephone, email or written communications with the general public and donors
  • input all communications into Raiser’s Edge (RE)
  • check Development telephone line and respond to queries
  • keep department diary up to date

Meetings:

  • book spaces and set up rooms for meetings; confirm meetings
  • circulate agendas and collate supporting material
  • when appropriate, attend meetings and take minutes; circulate minutes

Events:

  • support Development Manger to co-ordinate invitations and tickets
  • liase with printers/donors/internal staff/caterers to ensure smooth running events
  • set up event on RE and input all guests; deal with RSVP’s
  • prepare briefing sheet on guests for internal use; flag up guests and note follow up actions
  • send out thank you letters
  • make sure Frizzante and FOH know about all development events

Development Advisory Council:

  • send out agenda/letters for Development Advisory Council and make follow up phone calls before the meeting; set up meeting room and send out minutes
  • collate extra information for reports
  • print and photocopy reports, recent press, education reports, revenue proposals

Gem Scheme

  • be first point of contact for Unicorn’s Gems
  • work with development team to recruit new members
  • input new membership details; send out welcome packs; manage renewals
  • schedule Gem events throughout the year; set up and attend events
  • maintain good relationships with Gems

Donor Care:

  • liaise with box office to reserve and collect tickets for donors/supporters
  • check crediting of sponsors/trusts/individuals in literature – by phone and follow up letter; check website/ print with marketing to ensure accreditation is correct
  • ensure development has permission for all photos linked to our events and transfer these to the archive drive and clearly label
  • mail outs – organise mail outs with development team; run lists and labels and organise support to send out the mail out

Finance records:

  • maintain accurate database records of all donations made, particularly highlighting when donations are renewable; draft thank you letters and gift certificates; liaise with finance re.invoices
  • invoice, process and acknowledge all sponsorships made
  • keep all receipts for events and give to finance with spreadsheet, input any donations as a result onto RE
  • create and reconcile with the Finance Manager monthly reports on money received and/or pledged
  • regularly process Gift Aid claims

Database Management:

  • maintain accurate records on the database and continue communication with RE; set up all new constituents, input change of addresses, liaise with Blackbaud (suppliers of RE) if any problems
  • liaise with Press Officer and send relevant cuttings to sponsors/donors
  • check website regularly and update basic information

PERSON SPECIFICATION

We are looking for an enthusiastic, efficient and committed member of staff, who will play a vital administrative and co-ordinating role, supporting the Development Department.
The successful applicant will be able to manage a large and varied workload, prioritising tasks, meeting deadlines, and demonstrating initiative and attention to detail in all aspects of their work.
S/he will be meticulous in recording all financial transactions. S/he will communicate clearly,appropriately and confidently, both in writing and orally, with colleagues, supporters,Gems, children and artists alike.

Desirable:

  • administrative experience in the arts
  • knowledge of a fundraising database, ideally Raiser’s Edge
  • design and presentation skills for production of documents and resources
