Purpose of the post

  • to manage the box office, maximising opportunities to achieve sales targets and developing the highest standards of customer care
  • to assist marketing activities within an integrated Marketing & Customer Relations department.

The Box Office Manager will give attention to the following areas of work to ensure an efficient box office operation:

LEAD RESPONSIBILITIES:

Development:

  • to review, develop and manage appropriate box office systems, in line with recent consultancy recommendations, including implementation of new or improved systems that support sales initiatives and improve customer service, and to respond to changes in technology and support the drive to develop new audiences

Marketing & Sales

  • to work closely with the Head of Marketing and Customer Relations in utilising the system and database in the most effective and efficient way to implement audience development strategies, produce proactive sales campaigns to individuals and group bookers, and optimum methods of reporting, evaluation and statistical analysis

Systems & Operations

  • to ensure the effective operation and administration of the computerised box office system (Databox), including liaising with suppliers, the IT consultant, recommending improvements, updating and maintenance as necessary

Administration & Finance

  • to control all ticketing and sales income and maintenance of accurate financial records including instigating departmental controls and taking full responsibility for these

Personnel

  • day to day line management of box office staff, including regular supervision, annual appraisal and six-monthly review

Communication

  • to communicate with all customers, external agencies and users in a professional and effective way

Customer Care

  • to maintain the highest standards in all box office dealings with the public and other users including customer care, appearance and working practices of box office staff

PERSON SPECIFICATION

Essential

* knowledge of operating and administrating a computerised box office system * experience of working in a box office environment (preferably within an arts organisation) * numerate with the ability to manipulate financial data and undertake statistical analysis * experience of cash handling and reconciliation * a passion for organisation, accuracy and working with figures * ability to plan and prioritise own work and the work of others * ability to work to deadlines * excellent interpersonal and communication skills * IT literate with proven administration skills * ability to work well under pressure * proven leadership skills and the ability to also work well as part of a team * flair for dealing with the public and excellent customer care * an interest in the arts

Desirable

* knowledge of Databox Box Office system
