Box office worker

The ITC, an industry body that represents over 600 members, says:

A box office manager is responsible for hiring box office staff and planning staff rotas. Overall they have responsibility for ticket sales, including completing financial returns, and ensuring that ticket-selling equipment is working well and is updated.

An assistant sells tickets to the public, answers phone enquiries, and processes phone ticket sales.

Responsible to:

Main Duties and Responsibilities

  • deal with telephone, in person and postal ticket bookings and reservations during scheduled hours, by using the computerised, and in emergencies manual, box office system, ensuring that all bookings are made through Databox in an efficient and accurate manner
  • provide reception services for members of staff, visiting artists and companies, resident groups etc
  • assist in the maintenance of a clean and tidy box office/ reception area at all times
  • distribute all items of post and inform resident and visiting companies of all parcel deliveries, by either phone or e-mail
  • maintain accurate banking records of all cash, cheque and credit/ debit card payments, to secure all cash from sales and the cash float
  • balance individual, and when required, the daily banking accounts, running appropriate reports when required from Databox
  • keep up-to-date with our programme of work, box office and building information etc using established box office systems, so as to effectively advise and sell shows to customers
  • attend monthly box office meetings
  • take part in any extra training as required, and take a proactive approach in remaining aware of box office policy
  • deputise for the Box Office Coordinator during holiday period or sick leave if necessary
  • maintaining customer database
  • ensuring, in conjunction with the theatre operations department, that all security procedures are correctly undertaken
  • assist the theatre operations in the maintenance of all-necessary fire and health and safety regulations and to take emergency action as required in the event of an evacuation or similar event within the building
  • in collaboration with other staff, be responsible for the implementation, monitoring and development of the equal opportunities policy

PERSON SPECIFICATION

Essential

  • experience of a customer service/ retail environment
  • flexible availability, particularly at evenings and weekends
  • ability to work in a pressurised environment
  • ability to work in a small team
  • strong verbal communication skills
  • experience of cash handling and payment systems
  • an interest in arts and theatre

Desirable

  • previous experience of working in a reception or on a stage door
  • knowledge of computerised ticket system, preferably Databox
